Ralcom Exhibitions srl Regulation regarding the Processing of Personal Data 

The document you are going through presents the company's policy on how to collect and manage personal data, as these procedures are governed by the 2016 / 679 EU Regulation from May 25th 2018 on the Protection of Individuals regarding the processing of personal data and the free movement of such data.

Through the provided services, Ralcom Exhibitions srl processes personal data exclusively for the purpose of performing the engaged services in accordance with its object of activity with each contractual partner. For this purpose and based on the requirements of the EU Regulation 2016 / 679 on the protection of individuals regarding the processing of personal data and the free movement of such data, Ralcom Exhibitions srl has the duty to comply with all its obligations according to the applicable legislation on the protection of individuals regarding the process of personal data and the free movement of such data and to any other Romanian or European Regulation on personal data protection.

For this purpose, Ralcom Exhibitions srl adopts this Regulation regarding the Processing of Personal Data and informs its partners, beneficiaries and employees that it is committed to maintaining strictly confidential all collected personal information and will not disclose personal information, with the exception of its employees and the contractors working at its premises who need this information to perform the services contracted with its beneficiaries. Employees and contractors of Ralcom Exhibitions srl have been trained and guided to preserve the confidentiality of these data.

At the same time, Ralcom Exhibitions srl will not disclose, provide or make available personal information to third parties unless such disclosures, transmissions or providings to third parties have been approved with the consent of the persons whose data are being processed.

By implementing the necessary operational, technical and organizational measures required to protect personal information against accidental or illegal destructions, modifications or disclosures or unauthorized access to personal data, Ralcom Exhibitions srl guarantees the security of such data and the elimination of any risks arising from the disclosure of personal information.

Ralcom Exhibitions srl regularly monitors the effectiveness of personal data protection and security standards, evaluating and permanently adapting to the potential risks that could alter the integrity, security or confidentiality of personal information. Also, Ralcom Exhibitions srl ensures that the security programs are being respected by its employees and contractors.

Main rules on the processing of personal data 

Data collection

For the purpose of collecting personal data, Ralcom Exhibitions srl shall designate authorized users for the collection, input and storage of personal data in an information system.
Any changes to the personal data are made only by authorized users appointed by Ralcom Exhibitions srl.

Ralcom Exhibitions srl applies measures for the information system to record who made the change, the date and the time of change.

Data storage

Ralcom Exhibitions srl will only keep personal data for the period of time needed for processing and only for their use in the purpose for which they were collected. Upon expiry of the term for storing the data for processing, the personal data will be deleted, destroyed or converted into anonymous data when they could be used for statistical or scientific purposes.

Access to personal data

Access to personal data stored in the informational system will be restricted and allowed only to those who have an access password. Ralcom Exhibitions srl secures the access to the operating systems and applications as well as a ban on remote access to and from its systems by disabling remote communication at the operating system level, if there is no need for an operation through rigorous access control implying approvals, regular checks of logs and operations.

The execution of backup copies

Ralcom Exhibitions srl runs backups for personal databases as well as for the programs used for automated/electronic processings. Users executing these backups are appointed by Ralcom Exhibitions srl in a limited number.Backups are stored in places other than those where personal data used in the current activity is kept. Access to backup copies is monitored. 

Staff training

In the user training courses, Ralcom Exhibitions srl informs users about the provisions of the EU Regulation no. 679 from 2016 for the protection of individuals with regard to the processing of personal data and the free movement of such data, about the minimum security requirements of the processing of personal data, as well as about the risks involved in the processing of personal data, depending on the specificity of the user's activity.

Users on behalf of Ralcom Exhibitions srl who have access to personal data are trained on the confidentiality of such data and are required to comply with the secrecy of those data.Under the provisions of the EU Regulation no. 679 from 2016 on the protection of individuals with regard to the processing of personal data and the free movement of such data, the persons concerned are entitled to: the right of access and intervention (rectification) on data, the right to oppose to the data processing, the right to request the transfer of data to other organizations, the right to request the deletion of the data collected.

Ralcom Exhibitions srl is continuously informed on the legal requirements for the processing of personal information and the processing used by the company complies with the laws and regulations in place regarding confidentiality and security.

What kind of information do we collect from applicants?

RALCOM collects information from its users in the following ways: directly from the user, from the traffic reports registered by the servers hosting the RALCOM websites, as well as through cookies.

Information Provided Directly by the User: When our applicants use a service provided by RALCOM, they may be asked what their name is, which is their email address and other personal information may be requested.

Information from the server traffic report: When an applicant visits a website, it reveals certain information about him, such as the IP address, the time of the visit, where it entered our websites RALCOM and, like other operators, it records this information.

Cookies: In order to provide a custom service to our users, RALCOM can use cookies to facilitate the storage and tracking of its applicants preferences. For example, we can use cookies to identify the applicants and to be able to provide information and services based on the preferences that each applicant has expressed in his previous visits. Third-party online advertising networks can also use cookies to tailor ad messages according to the preferences of each applicant. Cookies are ".txt" files provided to your browser by a web server and then stored on each applicant's computer hard drive. The use of cookies is a current standard across many of the major sites that applicants can visit. Most browsers are set to accept cookies. If applicants are comfortable with this procedure, then they are able to reset their browser either to let them know whenever they receive a cookie or even to refuse the acceptance of cookies. However, you should be aware that some sections of our website won’t be able to be normally viewed if the applicant sets the browser to reject cookies. 

It should also be noted that whenever personal information is voluntarily disclosed in the online communication environment, online forums, e-mail program, FTP program, chat groups, chat services, the information disclosed may be easily collected and used by unauthorized persons. Although RALCOM does everything possible to protect the personal information of each applicant, RALCOM will not be able to secure or guarantee the safety of any type of information that the applicants provide, so that the submission of the information in an inappropriate environment is made at the applicant’s own risk. Furthermore, the applicant must understand that he/she is solely responsible for maintaining the secrecy of the information (passwords, usernames etc.) related to the accounts he/she has acquired as a result of using our services.

How and when is the information used? 

RALCOM uses the information collected from the applicants in various ways, according to the type of information gathered. Information provided directly by the user: this information is used only for the purpose of personalizing the services offered and for checking the identity of the applicant in order to execute possible contracts between the applicant and our company following the use of our online services by the applicant.

Information gathered from the RALCOM traffic report: This kind of information helps us identify which sections of our websites are sections of interest to the users. RALCOM also collects the IP addresses of its users in order to securely manage our IT system in order to avoid criminal activities and, last but not least, to communicate anonymous user templates to our advertisers.

Information collected through cookies: RALCOM uses cookies to enable applicants to make the most of our services and to obtain statistical information that would enable us to improve our services. Cookies (as defined above) will allow us to save the access passwords and the applicants’ preferences so that they do not have to re-enter them the next time they visit our websites.

How do we protect the information collected from the applicants?

The confidentiality and protection of information collected from the applicants is of particular importance to us. RALCOM does not provide the information collected to third parties without the express and prior consent of each applicant. Any traffic statistics regarding our users that we will provide to third-party ad networks or partner sites, is provided only as a data set and does not include any personally identifiable information about any individual user.

Applicants' access to certain services and information within the website is protected by a password. It is recommended that the applicants do not disclose this password to anyone. RALCOM will never ask for the applicants’ password in unsolicited messages or phones. Therefore, the applicants will be advised not to disclose this password to people who ask for it. The applicants are also advised to close the browser’s window they worked in at the end of their navigation in the sites or services provided by RALCOM.

These tips are designed to remove unauthorized people from accessing applicants’ personal information or their correspondence when working in a computer network in a public place (for example in internet cafes). Unfortunately, no data transmission via the Internet can be guaranteed to be 100% secure. Consequently, despite our efforts to protect the personal information, RALCOM can not ensure or guarantee the security of the information submitted to us by each applicant, to and from our online services or our products. In this mattter, our applicants are warned that any information sent to us will be at their own risk. However, we guarantee that we will make every effort to ensure their security in our systems, according to the security standards required by the Romanian legislation in force. 

Who has access to the information collected from the applicants?

By exemption from the cases above mentioned, RALCOM will not disclose any personally identifiable information about its users to third parties without first obtaining the express consent of the users in this matter.

At the same time, however, RALCOM may disclose personally identifiable information when the law explicitly requires so or when this is necessary to protect RALCOM.’s rights and interests. As a result, when our applicants access the RALCOM websites and are required to disclose information about them, this information will be shared only through RALCOM websites, unless the service or information is provided in partnership with another website or service.

However, whenever such a service is provided in partnership with another website, the applicants will be informed about this. In order to provide services at the highest standards, it is necessary to share personal information with the co-site or service. If applicants do not want these data to be shared, they will be able to do so by not allowing data transfer by not using that particular service.

However, if applicants choose to accept data sharing, they need to be informed that the partner service providers may have separate privacy and data collection practices. RALCOM has no control and can not guarantee all legal aspects involved in the use of these independent confidentiality practices. 

How can we correct the errors in the data collected from our applicants?

If applicants create an account with one of our services, they will be able to receive a confirmation email that will give them the details of their new account. The confirmation message will be sent to the e-mail address provided and will describe how the applicant can modify or delete the account details that has just been created. The applicants are advised to keep this confirmation email, especially since it contains information that may be useful when problems arise in accessing our services.

Sharing information to third parties

RALCOM websites may use the services of some advertising companies to set advertising targets and to support advertising campaigns and other marketing-specific messages. For this purpose, these companies can collect anonymous data through the use of cookies. As far as this happens, RALCOM will include in its privacy agreement links to the confidentiality agreements of their partner advertising networks. 

Certifications

1. Prior to the application of the EU Regulation no. 679 from 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, Ralcom Exhibitions srl has been accredited as a personal data carrier, according to Notifications no. 26827 / 28.11.2012 & no. 26824 / 28.11.2012..
